2012-2013 Pay Dates

Employees are paid semi-monthly, on the 15th and the last business day of each month.

Direct Deposit

All APS employees receive their pay by direct deposit.
 

W-2 Forms

****W-2 Mailing and NEW Online Information****
W-2’s will be mailed to home addresses on file during the last week of January. W-2’s must be postmarked by January 31 in accordance with IRS regulations. As of January 25, 2013, employees are in receipt of their W-2's through employee self service.  APS is not responsible for lost mail due to mis-delivery or addresses not being updated.  Employees who did not change their state of withholding are responsible for filing the taxes for the appropriate states involved.

 

A new feature of STARS Employee Self Service will allow employees to view and print W-2’s online by logging into their STARS account.  As of January 31st, you will be able to click on “Employee Self Service”: “Payroll Summary” and “W-2 Year End Tax Summary”. Employees may print copies of their W-2’s. Instructions to print W-2's from STARS

 

Check the payroll website, www.apsva.us/payroll for updated information regarding W-2’s and to assist staff to understand the W-2 taxation boxes.  If you do not receive a W-2 by February 13th, a “Request for Reprint of W-2Request for Reprint” found on the payroll website, should be faxed to 703-807-0146.  Please include your name, employee number and address.  Prior to the request for reprint, you can always login to STARS employee Self Service to print your own W-2.

 

W-2 Year-End Tax Summary Information
 
W-2's are now online for employees to see through Employee Self Service.  Employees can actually review 2007, 2008, 2009, 2010, 2011, and 2012 W-2's.

While logged into Employee Self Service: click on "W-2 Year End Tax Summary".  The first one that comes up will be the 2012 W-2.  If you would like to review another year such as 2007, 2008, 2009, 2010 or 2011, you would click the drop down box at the top, choose the year, and be sure to press "GO".  Your new year will appear.

W-2 Year End Tax  Quick Reference Summary
Starting January 25, 2013, you can view and print your W-2 form online in STARS.
APS has mailed your W-2 form to your address on file per IRS regulations as a backup.
Log in to STARS the same way you would see your paystub.
Click on APS Employee Self Service.
Click on Payroll Summary to see your pay stub.
Click on W-2 Year End Tax Summary to see your W-2 form.
Your current W-2 form for 2012 will be displayed.
You can also see your previous W-2 form for 2007, 2008, 2009, 2010, and 2011.

To print your W-2 form, click on the print icon at the top of the form. This will print 2 pages.  Please review the instruction pages for all boxes noted on your W-2.

All instructions/notes related to the specific boxes of the W-2's are posted on the payroll website in the W-2 section of www.apsva.us/payroll. The second page of the W-2 that is online or the back of the printed W-2 that was sent to the address of record will have all information needed.

The W-2's online are a legal representation of a W-2. 
 

Include the employee number and address. A reissue request form (PDF) is provided for employee convenience. Requested W-2 Reissue Request FormW-2 Reissue Request Form will begin to be printed and mailed on the 13th of February.

The W-2s have the following codes in specific boxes on the W-2 per IRS regulations. The following codes correspond to taxable income categories:

****APS payroll staff will be happy to help you fill out withholding tax forms, however; we can not give tax advice to an individual.  Please consult an independent professional tax preparer or CPA to address any taxability concerns as each person is unique in their tax liabilities. APS is not responsible for the withholding amounts taken from an employee's check for Federal and State rates.  Please ensure that you review your tax withholding amounts each year at the least, every 6 months to be sure.  I've provided links on the APS website to IRS and the state agencies to research any questions you might have. ****

Witholding Forms

Following are links to the most recent withholding tax forms for Federal, VA, MD, & DC. Forms are also available in the Payroll office, however some employees appreciate having the forms instantly.
 

Employees should submit the appropriate state and federal forms only if they need to change the withholding amount for calendar year 2013.

If an employee moves between states, the new state tax form will need to be filled out. Payroll does not change withholding until a new tax form is received.
